Since 2006 OneVizion has used our platform to gradually build all the Vizion Packages for running our Company. This is a demonstration of the OneVizion methodology – Gragile® (guard rail agile), which allowed us to build out our tool in a reasonable and utilitarian manner – adding functionality that expands and improves processes as they emerge.

Using our tool internally provides OneVizion the perfect advantage in the marketplace. These capabilities provide a delayered low overhead company with Gross Margins that are the envy of the industry. We pinpoint resources to solve the biggest most complex industry problems. Using our tool means we do not experiment on our customers – we are our biggest fan and critic. Our journey is accelerating.

Tracking Down Missing Information

Accounts, pipeline, agreements, and revenue. OneTeam allows our organization to manage all aspects of the process.

OneVizion uses Trackor to manage and report on its business from sales opportunity to contract management to forecasting, revenue recognition and cash collection.

Pipeline

The Pipeline Trackor is used to manage sales opportunities, and each record is associated with a customer in the Accounts Trackor. The Views and Filter features allow for easy reporting of opportunities in various stages of the sales cycle. By including a Document tab in each pipeline record, customer presentations and proposals are stored in a single organized location.

Accounts

The Accounts Trackor is used to manage key information about past, current, and potential customer accounts, as well as vendor accounts. The document storage feature provides a convenient tool to track and store Non-disclosure agreements and any other pertinent documents.

Agreements

The Agreements Trackor, which is linked to the Pipeline and Accounts Trackors, is configured to show a summary of key agreement T’s and C’s, agreement start and end dates, as well as to store key documents. The Agreements Trackor is also configured with a rule to automatically send alerts to the account team when a contract renewal deadline is approaching.

Revenue

The Revenue Monthly Detail Trackor is linked to the Agreements Trackor and each record details the revenue type, month/year, and actual revenue recognized and actual cash received/expected. Forecasted revenue and cash receipts are also tracked based on Pipeline opportunities.

Dashboard

An unlimited number of dashboards can be downloaded, installed, or built by the user. These tools pull data from across the Trackor ecosystem to provide customizable, detailed and up to date snapshots. Used by managers, executives, and others, dashboards can be built by non-technical users for temporary project overviews or permanent reporting requirements.

Project Management for Work

OneTeam takes advantage of the fact that OneVizion provides the most advanced SaaS platform to a large range of customers. Although all our customers have unique challenges and opportunities, they all have one unique requirement: that all implementations are usually for very large mature program management companies.

For OneTeam, we use a Pipeline Trackor to record and organize contract management. OneTeam, specifically a module called Project Trackor, is used to log in the scope based on this Pipeline Trackor.

The Project Trackor is set up to record scope, outline scope timeline, assign resources, record progress to completion through judicious use of time records. This complete project management process cuts down on meetings, facilitates lessons learned, ensure collaboration among the OneTeam members.

AWS Management

By creating cross referenced data streams, OneTeam can pull together all elements of our AWS system hosting. Customer websites, EC2 and RDS instances, dedicated or reserved instances: all these points of our AWS infrastructure are linked together for seamless review, simple forecasting, and the ability for even those who do not deal with the complexities of AWS to understand how our money is being spent, in as much or little detail as they need in that moment.

Since OneTeam incorporates our project management and case tracking systems, the ability to pull data from our AWS hosting module means important information is just a click away. Updates to the AWS management module flow directly into our project and case tracking modules, cutting down on the need for meetings and lengthy emails between teams.

Case Management System

Case Management System is a Vizion Package in OneTeam that allows us to manage all Customer Related Services – Change, Incident, Problem, and Service Request all in one place. By tracking the Cases under respective Customer Accounts, all teams involved have full visibility to track progress on a Case.  A Case might be worked by Project Team (Change Requests, Service Requests), or by Customer Care Team (Problems, Questions), or by Monitoring Team(Incidents). The responsible team then escalates Cases to necessary teams (Developers, Solution Architects, or DevOPS) to get the Case to resolution. We also have the ability to track Cases under an Account’s specific Service Level Agreement.

Audit Log – to track and ensure SLAs

Trackor Tree – To track Cases under specific Projects under Customer Accounts

Due Diligence

Information and Information Security requirements are aligned with OneVizion’s goals and strategic objectives. OneVizion is committed to implementing a Secure Operating Framework structured and conformant with the internationally recognized standard for an Information Security Management System (ISMS) ISO/IEC 27001:2013. This commitment is manifested by using the OneVizion platform to track and monitor our adherence to all clauses within the ISO/IEC 27001:2013 standard, and keep our employees and contractors aware of the progress and status.

An important component of adhering to the standard is having an effective management review process. As part of this process OneVizion performs a Strength, Weakness, Opportunity, Threat (SWOT) analysis. As a team, we decided to make this analysis a living exercise by placing our SWOT into a SWOT Trackor that allows for universal access and comments by all employees. This empowers employees to add new innovative ideas to each SWOT and then child Trackors. To turn a SOWT into action requires a simple set of child Trackors – Due diligence which records the instance of the SWOT to be managed, Due Diligence Control Trackor which lists the items to be measured, Corrective Action Trackor which lists the measures to overcome any short coming in an audit. This structure was set up in a morning session using our DropGrid® session to link together the spreadsheets defining each Trackor. The Gragile approach to improving our audits ensure that future compliance will be completed with the least impact on OneVizion.

Product Management

Epics, Roadmaps, Sprint, Agile are just buzzwords without the culture to enable these concepts to deliver error free code that delivers scale, simplicity, and no worries. The OneVizion Trackor implementation started in 2006 with every task submitted to OneVizion managed as an Issue. Using our Gragile® approach of every business problem is a journey of continuous improvement.

The Issue records new features, improvements, the occasional bug, and somedays general insanity. Every element in the OneVizion stack will, if an error is generated, record the error via API into the Issue Trackor. But supporting 100s of thousands of users means that if a browser company releases a fix that causes errors to be generated – our AI enhanced screening tech classifies them into a learned experience and just increases the counter and not records. We simply have hundreds of improvements that means our 1,000,000 lines of code is, simply, the most error free solid technology in the industry.

Time Records Management

OneVizion started implementing OneTeam in 2006 with two Trackors – Issue and Time Record.

Accurate Time Records are used for paying OneVizion associates but serve as substantiation of patent applications, Federal Research Tax Credits, performance reviews of employees, progress in performing client work and a host of other business requirements. We can measure when they are entered versus when the work was performed to ensure that accurate descriptions are not made up and postdated.

We use Time Records to ensure budgeted resources are wisely spent. For instance, we can run a report to see what percentage of quality assurance hours are being spent in development. The business use of Time Records is ever evolving according to our Gragile methodology.

Equipment Inventory

Having a firm grasp on the condition and history of equipment is essential to keeping your business running and minimizing waste. OneVizion uses filters to audit last review dates, purchase prices and current assessed prices.

We attach images, keep logs and much more. OneTeam’s Equipment Management systems are designed for simple updating and constant use, which means everything gets tracked as it should. For example, for insurance matters we can quickly assess, using filters and reports, which items are where, their replacement value and current state.
